OUSA Board Meeting teleconference. Agenda


  1. Minutes from October 4 meeting approved. I mean to ask Kris to add an abstract, say a summary of motions taken and topics discussed, to make the minutes more accessible

  2. Ed Despard, the operator of OUSA's EventReg, gave quick comments on online security. The basic premise is we (OUSA, event organizers) don't ever want to collect sensitive information like SSNs, passport numbers, financial data, and so on. Payment at EventReg goes through external channels like paypal. At present, QOC is collecting passport numbers or SSNs for people attending the event bid for the 2019 Junior Nationals because it's on the military base.

  3. 2019 Junior Nationals Bid by QOC, April 13-14 in Quantico, Virginia. In October, there were concerns raised about access - because everyone who wants to attend has to submit a SSN or passport number. Jon Torrance replied with further information. Because of the lateness of the hour (Junior Nationals has to be in the first half of the year), this is the only bid for Junior Nationals. We were satisfied with the reply from Jon about the procedure; Barb had a concern (and voted against) because any undocumented persons would be unable to attend (no SSN or passport number). All voted in favor except Barb. I voted in favor because it becomes a choice of a 2019 Junior Nationals with unfortunately restrictive access or no event. We, OUSA, need to do a better job recruiting bids at least a year in advance of the events. Start on 2020 now?

  4. 2018 Masters Nationals bid by OCIN, March 22-24, 2019 in Ohio. OCIN and UNO both applied for the Masters championship, but partly because OCIN just had a national championship in 2018 (in my judgment - we want maximally diverse club and geography), the 2019 Masters was awarded to UNO in October in New Hampshire. The push for OCIN to hold 2018 Masters is a mulligan on OUSA's part; we failed to find a club to host 2018 Masters. We need to be proactive about recruiting clubs or groups of clubs to host events, and may need to better incentivize it, e.g. with reduced sanctioning fees.     We recognize it's a bit ridiculous to hold the 2018 championship in 2019, but we think people will be excited about this. OCIN sounds enthusiastic. I voted yes because I think it's preferable to have an event to not (also it fixes our mistake); the 2019 Flying Pig will happen anyway; and it will benefit one of our member clubs and the membership. It passed unanimously (IIRC).

    Question for Ian: where have the championship events in the past ten years been? This data was a little tedious to get to on the OUSA website.

  5. Proposal to adopt a new misconduct policy; discussion/mini-presentation led by Barb. The proposed policy would bring OUSA into compliance with Safe Sport. There was some discussion and uncertainty about what the requirements were; ultimately, the proposal passed by acclamation with Sandy and Barb commenting on working on clarifying the requirements.

  6. Alex quick discussion about a handbook or policy on recruiting.

  7. Flurry of rule changes (minor, details to come)

  8. Budget Status - update from Pat Meehan. He showed his projection spreadsheet for estimating our balance at the end of 2018. On January 1 2018, we had about $51k unallocated money, i.e. the difference in our available money in the bank and our restricted and board designated commitments. A reminder that in January 2017, we were at negative $46k - we had allocated $46,000 more than we had in the bank.

  9. Presentation by Russ Myer of the Capital Region Nordic Alliance on Trail-O development work. I don't think any requests were made of the Board.

  10. We voted on a proposal from Nate to renew our insurance relationship with Loomis for 2019 which was sent out on Board net. Insurance premiums for 2019 are expected to go up by about $600 from $24.5k to $25.1k. Passed unanimously; 2019 insurance certificates will be able to go out soon.

  11. OUSA Board is moving to GSuite; this is great, but I don't really know where the money came for this or how much it costs. I will ask Kris for more details. Apparently we have a contractor, Doug, for this conversion.

  12. Lots of discussion on the budget and next board meeting.
