Discussion: Sat. night social = Meet the US team!

Hello all hearty Night-Relay-Ultralong Champs attendees!

Saturday evening, at the Holiday Inn meet hotel, the US Senior team will host a post-dinner reception. Snacks will be available, and we'll have a cash bar for any desired beverages. Several team members will be there to share experiences of the past year's major international events, including WOC in Lausanne, Switzerland, and the recent US victory at the North American Champs at Delaware Water Gap, Pennsylvania!

It'll also be a great place to just gather after dinner with other orienteers competing over the weekend from near and far. So bring yourself, your friends, your night-o and relay maps, and come hang out!

Time 8pm-9pm, with room open for hang-out until 10pm.
Suggested donation for entry = $5.

RSVP very much appreciated, either email me at skiingali at gmail.com, or just say you're coming on this thread, I'll pay attention! This is really just for numbers to get the right amount of food.

Count me in. Did something similar 2 or 3 years ago at a DVOA meet at Hickory Run. Got a good crowd and people seemed to have a lot of fun.

Yes. We are planning on a junior coaching / training/ course review session right after the relay. There should be plenty of time after that to get dinner then get to the team social. If there is interest maybe we can also have some games or activities for younger juniors at the team social. The HI has a small video game room and a very nice indoor swimming pool so parents and juniors can keep that in mind.

Practice area maps will be available at the event headquarters hotel (front desk) beginning Wednesday morning. Controls for the practice area are going out today.

Weather is forecast to be dry and stay above freezing with highs of 10 - 13 C. (low 50's F) and lows of 2 - 4 C (upper 30's F). Chance of rain late Sunday but currently not expected until that evening.

Also, we will have early check-in to pick up your race packets, at the Event HQ hotel on Friday from 1 pm until 3 pm. Check-in will re-open at Mt. Airy for the night-O at 5 pm. Looking forward to seeing all of you at the meet, and Saturday night at the Social.

Also, I also think its worth the extra 5 cents to have names printed on the competition bibs. Not only does it make for a better race souvenir, but then it makes it easier to know people's names at the races, too.

I won´t be there, but I certainly appreciated the names on the number bibs at NAOC - meeting so many AP:ers for the first time IRL!

pinksocks, names on bibs is not just about the cost or I'd gladly do it. But I don't know any place that would do those without lots of lead time. Which means we would have had to cut off entries instead of keeping them open through today. If you (or anyone else) want to recommend a printer and process that will do those, we can consider it for Flying Pig or future events. Do we just send art and a list of names to the printer?

We will try to have some name tags available for the social.

Just do nametags for early-enough entrants, and no names for the procrastinators er adventure racers. The procrastinators won't want to be the uncool boys or girls next time.

I'm setup to do tyvek bibs with a 48hr turnaround. I've been doing them for a few meets. The Western Mass 5-Day meet this spring was using my tyvek bibs. The Ski-O WC, and the GA SML champs this spring were printed and designed by me, but on Yupo, which is another synthetic stock I was using before I found a source for a treated tyvek sheet product.

What I do is design the layout in Illustrator, and then get a spreadsheet with all the data to be merged. I do the merge in Indesign which gives me a pdf with one bib per sheet with all the custom data (names, start times, classes, relay teams, SI numbers, anything you want) and then send that to the print shop I work with where we print them on an HP Indigo digital offset press.

Printing on tyvek is really hard due to the staticyness and porosity of the sheets, so they are hard to pickup and feed into the machine. I had to do a lot of searching around to find someone who provides sheeted tyvek that has been treated so that ink will adhere to it better. Most of the companies providing large volume commercial bibs are printing them on a web fed press and cutting them afterwards.

For "O, ftw!" I went through BibNumbers.com, which is out of Ottawa. They were one of the better vendors that I worked with. I sent them the graphic design I wanted earlier, and then a simple 2-column spreadsheet (bib number, competitor name) on April 5th. I asked for 400 bibs, and at the time, the number of registrants on the spreadsheet was only up to 374, so the final 26 bibs shipped without names. I asked for a delivery date by April 18th, and they arrived well in advance (at least a week early), because we had them for our packet stuffing party on April 14th.

The bib material isn't tyvek. I'm not sure what it is, but it's the same that they used at NAOC 2010 in BC (which also had bib names, and is what inspired me to do that for our event). The 2010 bibs had competitor name (first name only), SI number, and country, plus a few sponsor logos.

In 2007 we went to the Scottish 6 Day. It was a last minute decision and we registered on line and paid on arrival. Our data was put into the computer when we arrived and our bibs were printed on some kind of water proof material by a laser printer they had there - names, numbers, start times. And they had to be water proof as it poured all week.

At WOC 2011 in france, the O-Festival bibs were printed on Cuturon, which is a non-woven synthetic material similar to tyvek, but that is laser printable (tyvek can't deal with the heat in a laser printer). It is made by the same company that makes pretex, and is unavailable in north america.

We used bibnumbers.com for last years Nipmuck Trail Marathon and they were great to work with, short lead-time & quick turnaround. However we had about an hour of rain in the first half and the bibs didn't hold up well at all. Went back to waterproof laser labels on generic bibs this year. No logos etc, but no hassles either.

Cuturon would be a good name for an evil robot. All hail Cuturon!

It was cool to see so many faces at the Team reception last night! I hope everyone met some new people and enjoyed the slideshow and stories from WOC/NAOCs. We raised $276 for the team, so thanks much to all for your donations and especially to OCIN for donating the food and bartender charge!
